Terms & Conditions for Luxury Train Bookings

Making your booking
Once we have received your booking and all appropriate payments, we will, subject to availability, confirm your holiday by sending a booking confirmation letter / invoice. A provisional booking can be made but you must send the completed booking details and applicable payment failing which the provisional booking will be automatically released by our system, and we need to be notified again if it is to be restored, else we will treat the booking as cancelled.

Payment
You must send us a complete booking form, the appropriate deposit per person (as detailed on the relevant tour page) or full payment if booking within 60 days of departure. The balance of the cost of your holiday must be paid 60 days before departure. If you are paying by credit card, a charge of 2.5% will apply. A minimum deposit of 30% is required for any booking and full payment 60 days before departure of the train. If we do not receive all payments in full and on time, we are entitled to assume that you wish to cancel your booking.

Modifications to your booking
Please inform us in writing if you wish to make any changes to your booking. Modifications requested 60 days or more prior to departure will be subject to a minimum modifications fee with any costs or charges incurred or imposed by any of our suppliers. Name changes are not possible once the tour is booked, however, we will try as special case in case of a specific request, this in no way means that we are guaranteeing the name change. Any charge that is imposed on us by the suppliers for name change will be levied in accordance to the chnages incurred.

Cancellation by you
Should you wish to cancel your holiday, notice can be given verbally but must be followed up in writing by you to your file manager. The amount of the cancellation fee depends upon the date when the written notice of cancellation is received by us. The cancellation charges are as follows: In specific cases, the booking amount is non refundable, please clarify regarding this at the time of making a booking with us:

Changes and cancellations by us
Occasionally, we have to make changes to and correct errors in the brochures and other details both before and after bookings have been confirmed and cancel confirmed bookings, which we must reserve the right to do. If there is time to do so before departure, you will be offered various options.

Force majeure
We regret we cannot accept liability or pay any compensation where the performance or prompt performance of our obligations under our contract with you is prevented or affected by or you otherwise suffer any damage, loss or expense of any nature as a result of force majeure. Force Majeure means any event which we or the supplier of the services in question could not, even with all due care, foresee or avoid.

Complaints and problems
In the unlikely event that you have any reason to complain or experience any problems with your holiday whilst away, you must immediately inform your File Manager.
